Sangamon County provides online record access through the Recorder's section of sangamonil.gov. You can search by name, document type, or parcel identification number (PIN). Basic index searches are free. Fees may apply for full document images. Certified copies cost more than plain copies. For routine title research, plain copies work fine. The online system is updated regularly and covers records going back many years.

Searching Springfield Deed Records

Start with a PIN search when researching a specific Springfield parcel. Your parcel identification number is on the property tax bill. A PIN search returns every recorded document tied to that parcel: all deeds in the chain of ownership, mortgage instruments, releases, liens, easements, and plat references. Recording a Deed in Springfield

Illinois sets deed recording requirements through 765 ILCS 5, the Conveyances Act. A deed must be signed by the grantor and acknowledged before a notary public. It must include the full legal description of the property. The first page needs a three-inch blank top margin for the Recorder's stamp. The PIN must appear on the document. The deed must name who should get the recorded copy after filing. Missing any of these elements means the deed is returned uncorrected.

Before recording, file a MyDec transfer declaration at mytax.illinois.gov/MyDec. The Illinois Department of Revenue runs this system. Complete the declaration online, print the confirmation, and attach it to the deed when you go to the Recorder. All transfers need a declaration, including exempt ones. For exempt transfers, enter the exemption code. The Recorder will not process a deed without the MyDec confirmation attached.

Springfield does not require a municipal real estate transfer stamp. There is no city approval step before going to the Sangamon County Recorder. For a standard Springfield residential sale, you need the deed, the notarized signature, the MyDec confirmation, and the recording fee. Those four items are all that is required for a typical residential recording in Springfield.

Fees and Transfer Taxes

Sangamon County recording fees are set under 55 ILCS 5/3-5018. The base fee for a document up to four pages is $98. This includes the $18 Rental Housing Support Program surcharge required statewide. State transfer tax under 35 ILCS 200 is $0.50 per $500 of the sale price. Sangamon County adds $0.25 per $500 as a county transfer tax.
